Start with a trigger

Choose one trusted event, such as a CRM deal moving to won. Record a stable client or deal ID so webhook retries do not create duplicate projects.

Validate before creating records

Check required fields, owner, scope, start date and consent before downstream actions. Route missing fields back to a named person rather than guessing.

Keep the welcome message behind approval

Generate a draft from an approved template and require an account manager to review it before external delivery. Do not request passwords or API keys in ordinary email.

Verify the result

Check that the workspace exists, the owner is assigned and the email provider confirms delivery. Record the run ID and links to the source records.

Test before launch
